Reports Arlene reported the assistant treasurer report for November 29-12/31 (likely will be included in Kate’s upcoming Treasurer Report and will likely be posted to key biz via Kate so I didn’t see the need to list it here.)

Discussions

New member Sophie introduced, welcomed. Sophie volunteer to be a chair and also to serve as Sponsorship Coordinator (a position which has been dormant)

2. Members discussed the benefits and drawbacks of on line sponsorship - especially benefits for members not able to get to face to face meetings.

3. There was a suggestion that members to use Sponsorship as a topic when they serve as upcoming chairs. Cathy E, Sophie, and Joyce volunteered to do so. The feeling was that a more than one topic would be beneficial since the chairs would have different perspectives.

4. It was suggested that these chair volunteers include the owners addy so members could reply until we have a coordinator in place (BJ suggested)

5. It was suggested that someone “scope” out a list of possible sponsors (must be done first) and then pass that to the main group for those wanting a sponsor. (BJ suggested). No volunteers.

6. A Committee to write the guideline for the Coordinator Position was suggested and Cathy E and Sophie have volunteered so far. We need a sample set of guidelines for the perspective coordinator (who is Sophie). We have a draft of previous guidelines was provided.

7. A vote was called for Item 1-1/2018 to Reinstate the Sponsorship Coordinator and a timeframe was set to reach a unanimous decision. That decision was promply reached before the deadline and the deadline recinded.

8- Discussion requested of what to include and what to include regarding what would be duties of sponsor/sponsee…e.g. It is not the duty of the Coordinator or this committee to straighten out a “fix” to sponsor/sponsee relationships that do not work out. Several concurred that it is not our reponsibility to “fix”.

Old Business: Sponsorship Discussion A. Unanimously, Sophie was confirmed and declared Sponsorship

B. From BJ I understand from the current discussion:

  1. 1 - The Coordinator is asking members willing to be an OL sponsor. Use of personal email address (or a 2d one made by Coordinator for this specific use) is necessary. (If there are none willing to serve, this topic is nil, that goes without saying.)
  1. 2 - The Coordinator then asks for those wanting an OL sponsor. Again, the use of the Coordinator's personal email address or a 2d one specifically for this purpose, is used. Coordinator provides Sponsor list to these members, such as it is, with the understanding that what goes on between sponsor/sponsee is their business, not ours if there are problems. Also Coordinator can suggest that members wanting an OL sponsor read and respond to those members for whom their shares resonate.

Any OL CAL pertaining to sponsorship can be provided with the URL leading to that CAL. Groups do not have the legal right to site more than one paragraph (with documentation) of any CAL. Members need to be encouraged to obtain CAL themselves, either OL or in person.

Old Businesses Yahoogroups or Alternative BJ asked for a summary

Summary from Buddy:  To keep it very simply, nothing has happened. lol.  It appears that the group conscience is that now that YahooGroups is working again and there are bugs with the new system that setting up the new list should be delayed but kept as an emergency option for the future. (All of this discussion took place on the "old" keybiz list at YahooGroups and not the new one @key2harmony.org)

The "bugs" with the new list are mostly not with the Mailman software itself but with the general state of the email system today in general and are not something that can necessarily be fixed.

I strongly suspect that the same non-delivery issues that we experienced with the list/address keybiz@key2harmony.org are also being experienced with the list/address keytoharmony@yahoogroups.com

I know from my personal experience in the last 2/3 weeks with this laserbuddy@yahoo.com email address that I am NOT receiving all KEY shares. I see replies to the meeting openings, but do not see the actual openings. I've seen only one closing.

The only thing that did change in this process is you got your old website back .

3. Question from Cathy and answer from BJ

    Cathy question )Key to Harmony is not on the list of Al-Anon support

groups. Why???

      (BJ response) Because there are Al-Anon pages where K2H is listed and it is easy to find OL meetings as well as f2f meetings Years ago we had too many problems with people signing up to K2H for reasons other than program recovery: people who wanted to write books/articles/term papers/interview members, preachers who wanted to preach, and those who were looking for dates/women, etc. KEYbiz, at that time, voted to keep K2H info off of public sites and list only with certified Al-Anon pages, i.e WSO, OLAIS. BJ

B. Request for Chairpersons to fill out current schedule (Barb).

1.Sophie , Shelley, Darlene , Joyce stepped up. 2.Darlene noted :” There are times that it is harder to round up enough volunteers.I very often had to "ask around" the group of people I've come to know on Key and also Key members who had chaired in the past. By doing that I was able to usually fill 3 months of scheduled meetings.”

New Business A. Crosstalk Question

Does anyone know why there are so many emails hitting the regular Key list that really should be going just to the writer of the share? (Darlene)

Trying to fix the problem of senders never seeing their own posts, we changed the settings so that replies go to "everyone." Before replies only went to the original poster (sender). Not sure if that worked or not since I have not yet sent a post to the main KEY list. We may need to change it back to Replies going to the Sender only. (BJ) The delivery status has been changed back to what it was previously. (BJ) Also, when replying, especially in a group situation, be sure to only use the K2H or KEYbiz "reply to" and leave off individual addys. This happens a lot in KEYbiz by individuals who reply to the group addy but do not delete the individuals' addys. From what you have seen happening with the main group, it makes a lot of email to receive when only one to the group address will do the job. The subject of cross talk is fully covered in the files sent to each member upon joining K2H. They are also available in toto on the keytoharmony yahoogroups membership page files for any member to read and/or copy. If you kept your copies of these Guidelines, as every member is asked to do upon joining, you can individually send the Guidelines to those asking for clarification and they are also sent out the first of each month to the entire group (BJ)

B. Using BCC 1. If you BCC yourself on any email message is sends a copy of that message directly to your personal email address. Your server "delivers" the message to your server. It does not go through the YahooGroups server, so therefore receiving that message in your inbox does NOT prove that your message came through to the list. It does give you a copy of the message in your inbox, but doesn't prove it was delivered to anyone else. (Buddy)

E. Technical Support 1. Hi, I'm Buddy, grateful member of Al-Anon. I have been helping the Key Business Committee with some of the technical problems that we have been experiencing with YahooGroups lately.

At one point, when YahooGroups appeared to be down altogether, the Biz Committee considered moving the meeting to a new email listserv. But, they decided NOT to do that when YahooGroups began to work again.

ATherefore, nothing has changed with how Key to Harmony works. To send an opening, closing or new message to the entire group use this address: keytoharmony@yahoogroups.com

When you receive a message from KEY you have the following options:

REPLY will send a reply to the original sender of the message

ONLY.REPLY ALL will send your reply to the send AND the entire KEY list.

We are still experiencing some bugs with the YahooGroups system and trying to come up with solutions. We now have an emergency back-up system in place that we can implement if YahooGroups decides to completely shut down again, so we have made progress. :)

If you have any questions about how KEY works technically, please reply to THIS email and I will try to answer.

Can you all present this idea to the Bizcom? Get a discussion and a decision? Otherwise, given the few days I intend to wait, I will have to bow out of Key altogether. I don't know what else to do. IAs I already have one g.mail account, I don't see that can help me being the owner of both sites. I have no idea how to proceed. Any ideas Buddy?”

Reconsidering Leaving Yahoogroups

1. After our discussion, I did a search in the status of yahoo groups. Yahoo was bought by verizon (along with aol and others) and is now part of Oath. I started the search for Oath after going to the AFG website and looking at how to access other online groups. In clicking another group, I was referred to Oath’s terms of service and privacy policy (as in, there is no privacy….their goal is to get more ads in your face.)

If you are able to access this site via the link below, you will read that it is only a matter of time before yahoo groups goes away…and it will likely go away without notice. J. Buddy’s Summary of Current yahoogroups’s Situation

Just trying to put together a view of the current situation here.

I think we agree that the YahooGroups situation is deteriorating and is only going to get worse, if not disappear altogether someday without much notice.

We also agree that the Mailman system we installed at key2harmony.org is not perfect either. But *most* of those problems are related to the general state of email today caused by the almost militant effort by service providers to protect us from Spam at any costs.

Those problems are not going away. Email simply does not work as well as it once did in general due to the abuse of the system by spammers over the years.

But, Key to Harmony already has those problems, trust me. From the activity level of the group that I have witnessed since joining the mailing list March 22, I can assure you that no where near 600 people are receiving Key to Harmony openings and closings on Sundays and Thursdays.

Moving Key to the Mailman system might actually decrease some of the delivery problems because we will certainly end up sending fewer than 600 emails with each share and be less likely to be treated as spammers.

But, the delivery problems with email in general are not going away and I cannot guarantee you that moving to the Mailman system is going to work for everyone all of the time.

However, for those members who do make the transition to the new system by subscribing successfully and who add the address key@key2harmony.org to their contacts, whitelist, safe sender list, etc. it should work better than YahooGroups is working now.

L. Summary of Test (Buddy) Hi KeyBizzers,

I came here a month ago as a personal favor to my friend BJ to try to analyze the problems KEY was having with YahooGroups and try to find a solution. I am ready to make a recommendation, but you are probably not going to like it.

The results of our test yesterday revealed the underlying problem facing email discussion groups today. Mailman (the software I installed on key2harmony.org) did it's job fine by SENDING the test message to every one of the 13 addresses on the keybiz list.

The test message left the key2harmony.org server and was sent to each individual address, but those messages were not DELIVERED to all of those addresses.

-- Sophie and Darlene received the test message unimpeded and unfiltered. This proves that Mailman worked as designed, the messages WERE sent successfully.

-- Cathy and Joyce found it in their Junk folders.

-- Shelley replied to someone's reply, not the original.

-- BJ thought she received it at 2 of her 3 addresses, but she replied to Sophie's reply, not the original.

-- I did not ever receive the test at either of my 2 addresses.

-- We never heard from Arlene, Kate or Mary in Oz.

In other words, all 13 messages were SENT by Mailman, but only four (31%) were RECEIVED, and half of those were filtered into Spam folders.

Therein lies the problem. In today's Internet environment, a majority of multi-address email messages are being filtered or outright blocked by Internet Service Providers - the people that we pay to deliver our email! -- Cox, Comcast, Bellsouth, etc. as well as Yahoo mail, Gmail, Hotmail, etc.

The problem is there is nothing that we can do to force our service providers to deliver all of our email. We can add the address to our whitelists, safe senders, or contacts, and that will help some of us, but not all of us. I've got all of that set up in my email accounts, but yesterday I did not receive the test message at either address.

Yesterday, we used a listserv that we set up a month ago and all of us had used previously for at least two weeks and still only 31% of us received a simple test message.

What I am trying to explain as simply as I can is that the entire email system is becoming increasingly dysfunctional and getting to the point of becoming obsolete. And we are powerless to do anything about it.

Email is the dial telephone of Internet communications. It's on the way out.

We can move KEY from YahooGroups to Mailman, but it may not work any better. With a lot of work and training of KEY members on using whitelists, etc. we may see some improvement, but it's certainly not guaranteed.

Another option would be to go back to a paid listserv service. Here are some that are available: https://gaggle.email/compare-group-email-services

If this committee votes to do so, I will help you set up the main list on Mailman at key2harmony.org but please understand that there will be problems - undelivered mail, shares not showing up, openings and closing disappearing. Mailman will not solve all of the problems.

And also understand that Buddy will not be able to stay around for the long term and serve as technical support. Providing tech support for my own sites keeps me busy answering 50-100 queries a day.

Given all the information, going to a paid service may be your best option.

They offer a 14-day free trial, so you can create a new group and begin to invite KEY members to go subscribe to the new list as soon as you create the gaggle group. BTW, they charge 40 cents per YEAR per member. You cannot mass subscribe your current members, they each have to sign up individually. Hopefully, you can get all of KEY signed up at Gaggle within 14 days and know what the costs will be before you make the first payment. Here are the apparent steps: Go to https://gaggle.email/ and scroll down to Start a 14 day free trial now. Type in the name of the group: keytoharmony@gaggle.email At this point I assume they will ask you to set up a new account with a username, password, and credit card, etc. After your group is created then invite present KEY members to join the group. If you want to create the account and then send me the log-in information, I can set up a subscription page on key2harmony.org that KEY members can use, if you like.

No, when your next NetSonic bill is due you will not need to pay it. Right now, NetSonic is hosting your keyTWOharmony.org website, which is being auto-redirected to key2harmony..org which is hosted on my server. I am giving you a year's free hosting (because you just paid NetSonic for a year). Will we be able to keep our domain name as it is?

Yes, you will keep the domain name key2harmony.org When you stop paying NetSonic, your old keyTWOharmony.org domain will expire, but you won't need it. It will have been redirecting to the new domain for a year already at that point

What are your charges?<<

I will charge you $50/year which will include hosting services and annual domain name registration fees. You were paying NetSonic $99 for hosting plus registration fees.

1 -I agree with Buddy not to automatically move 600+ possible members. I think it best that we go with a smaller group

2 -I am unsure who the Welcome Letter I received went to...just the Business Committee? Or to the members on yahoogroups where we do our shares and ES&H?

3 -Where will the Business Committee correspondence go when we go to the new list serve? Will we use the keybiz@key2harmony.org for Business. Where will the Reports, Minutes, etc be saved?

4 - I suggest we HOLD the 3 setS OF Automatic Guidelines that are sent monthly until we work this out. To have them go out automatically in May will be confusing if they contain incorrect addresses.

My "limited knowledge-based" opinion is that Gaggle Mail would probably work for us. An annual cost of $120. for 300 members seems doable.

From Unsigned: I agree with the smaller set up....inviting the members to join the new list. Is it possible to send an invitation more than once to the Yahoo Key Main Group? Or does it shut down all at once?

I can't see paying for 600 members when it seems obvious that we don't really have 600 members receiving emails. And since they won't ever unsubscribe, we will continue to pay for these unknown members.

That's my two cents worth...

From Shelley I think it is a good idea to move forward and a very bad idea to move everyone. It is time to cull the herd. Those who wish for ‘the good old days’ when more people shared are not looking at our reality. We are a small group of active participants. Those of us who read and share get something out of the group as it is....and this is ok. How many of you attend face to face meetings with 600 active members? Who really wants to? Those inactive folks who do not participate (over 525 would be my guess) are not really members of key, they are email addresses on a list. I would vote in favor of a reliable working, active group.

V. Subscribing New Members (from Buddy)

Gaggle.email claims it keeps it simple and it does - maybe a bit too simple. With their built-in subscribe system, there is no way for list administrators to screen new subscribers. Anyone could subscribe, including spammers and robots, and begin posting messages to the list.

There is an easy work around. We set up our own subscription form with a captcha feature (Those "I am not a robot" things) and then we manually subscribe legitimate new members to the list.

I have already created a subscription form on the key2harmony.org website: http://key2harmony.org/join.html

The form sends the subscriber's name and email address to the email address join@key2harmony.org

Currently, join@key2harmony.org forwards only to me. I am willing to keep it that way during the transition from YahooGroups to the new Gaggle.email group, but in the future join@key2harmony.org will need to be forwarded to the administrators that you choose and train.

I will also set up a form for the administrators to use to make it easy to subscribe new members to the Gaggle group. But, after the initial transition, new member sign-ups should be easy to handle.

BTW, once we invite current Key members to the new Gaggle group, and the 14-day trial period for Gaggle ends, it does not mean that we have to shut down the YahooGroups immediately. Since we are not paying for YahooGroups, we could keep it in place as long as we need, but just not post openings and closings there any more.

That way, you can continue to post invitations to join the Gaggle group as long as needed.

It's simple. Current members of Key will be asked to go to this page and subscribe: http://key2harmony.org/join. html

All members of the KeyBiz list are already subscribed to the keytoharmony@gaggle.email list. You don't have to do anything.

I can't do all this myself unless Buddy guides me. I don'texpect him to do it all because we, on this committee, need to learn the ins and outs of gaggle email. That is one purpose of this committee. Who is willing to learn if Buddy agrees to help us? REPLIES:

"Echo send" is the answer to senders not getting a copy of their own post. Turn that on and the sender gets a copy.

Please explain the duties of moderators at YahooGroups.

From BJ: Moderators at yahoogroups have access to the entire group for whatever reasons, unbounce members, check problems members might be having, delete/add members, send automated messages, up date/change trailers, etc., etc. Things that you, as the "owner", did when you were ay KEY. Hopefully, things have been updated so we don't have to do all that. Apparently, gaggle doesn't have that which should make things simpler.

I was just wondering if we have to set any situations for members if they don't know and ask. I do want to know where group files can be stored and where personal email storage is located.

Thanks for today's meeting topic, BTW. Very timely for Key and for the Biz committee, because Gaggle does not have some of the features that YahooGroups provided (neither did Mailman) and you are going to have to change the way you have been doing some things.

Echo Send is under administrator Settings > General.

Yes, at Gaggle these are called Administrators. The current administrators cannot simply make someone an adminstrator. We have to invite others to be an administrator and they have to accept by clicking on a link in the invitation email.

If you receive an administrator invite, click on the link to the Gaggle site where you will be asked to set up a Gaggle account (so that you can have a password). After you have a password and log in, go back to the email, click on the link again, and you will become an administrator (Yes, I know, a pain!)

I don't know who you want to be administrators, but choose them wisely now and in the future, because they have complete access to all controls including being able to DELETE the entire group.

NOTE: Gaggle has "moderators" but what they do is moderate messages BEFORE they are sent to the group, if a group has a need for that kind of moderation.

All messages are archived at Gaggle and can be found with the "Messages" link on the left side navigation pane. Administrators can see all messages at any time. Members have to request a link that allows viewing of the archives for one hour (don't ask me why!), as some of you discovered.

These are called "headers and footers" and can be edited under administrator Settings > Design > Preview > Group Message. The Welcome message is also there for editing.

This is not possible with Gaggle. You are going to have to rely on your website to do the heavy lifting on communicating this information. The good news is, you already have all of that information on the website (although some will need to be rewritten to eliminate references to YahooGroups and related email addresses.

When we were able to get the key2harmony.org domain name again and redirected keyTWOharmony.org to the "new" site, I was able to find the original key2harmony.org design which included a "Members" section which included Welcome New Members, Frequently Asked Questions, KEY Officers and Coordinators, Who to Contact, Permission to Quote CAL. http://key2harmony.org/members.html

Those files are the current ones that you have been sending automatically from YahooGroups, and should be up-to-date except for the Yahoo references.

Here's my suggestion, instead of overwhelming new members with all of that information in a series of messages as soon as they join, I would suggest that you add a single link to the Members Information page in the welcome message inviting them to learn more about Key to Harmony and how it works.

There are technical reasons why you should keep the duplicate text in each Key email message to a minimum, including the headers and footers of each message, and to keep messages to a minumum. I don't want to burden you with all of the geekspeak, but simply put, Spam filters "grade" each email message by assigning "points" to various items within the message. When the grade gets to a certain level, it filters it as spam. If that grade is too high, they block it altogether.

But, they don't just grade that individual message, they compair it to all the other messages they are receiving and if they detech duplicate content repeated over and over, they will not only filter those messages, they will put the SENDER on a blacklist and stop delivering all mail from that sender.

Therefore, if you send out the same long block of type over and over again, as you have been doing with YahooGroups, you run the risk of being blacklisted. I suspect that is where Key finds itself today on the blacklists of Internet Service Providers across the country.

Trust me, sending hundreds of emails a week with these keywords included in each one can result in nothing else but the robots considering it to be spam: contributions, donations, check, money order, cash, currency. And then repeating the keyword "donation" 7 times!

Rather than include your treasurer/contribution info in each email, it would be much safer to send a "pass the basket" message once a month or so, and I suspect more effective.

When you decide how to set up your headers and footers, and how to present your Members Information to newcomers and current members, less is better.

I guess the next step is to decide who will be your administrators.

There have been a lot of details to attend to and information to exchange and it sure can get overwhelming!

To keep it very simple, the only thing that is going to change about conducting the Key to Harmony weekly meetings is the email address to which opening, closings, and share are sent.

However, to send a share to the gaggle address, you have to be a member of the Keytoharmony@gaggle.email group. So we are going to have to invite all current Key members to go over to this page and sign up for the new group: http://key2harmony.org/join.html

As far as the meeting and the transition goes, that's it. It's that simple.

The rest is "housekeeping" technical stuff that we once did on YahooGroups that we can't do on Gaggle -- such as post Guidelines, treasurer's reports, secretary reports, chair schedules, etc.

Because Key did not have a webmaster or a Tech Team, you relied on features available at YahooGroups to post those files and reports. Now, because YahooGroups is apparently going away, we will have to use the website for those tasks.

But, those are issues for the future. The task at hand is "moving" the Key membership to the Gaggle.email group and then begin having meetings at the new keytoharmony@gaggle.email address.

The website stats are NOT a function of Gaggle. They are a function of our website's control panel.

Now that WSO has finally updated their Key to Harmony link from the old Yahoo link to the new Key2Harmony.org link, new subscriptions have increased significantly. We've had 4 new members sign up since they changed the link last week. We now have 81 members.

Business Agenda items requested (BJ)

Answers to Questions:  Donations to WSO/GSO and Expected Expenses

A1. Annual expenses should be less than $100. Currently, they are $86.04 - $50 for web hosting (due in May 2019) and $36.04 for 81 Gaggle members (due May 11, 2019). But, that amount will go up 34 cents each time we add a new member to the Gaggle list. Our bill will come annually in May. When the NetSonic Bill comes, we can shut down that account and not pay that bill (we are no longer with yahoogroups). ( Buddy ).

A2. Annual Group donations to WSO and/or Australian GSO are generally made at the end of the year . The CMA receives an Appeal letter in November from WSO. Here at Key, a donation is usually made after all group bills are paid and an amount is retained to pay one year's bills if no donations are made, . (BJ)

A3. Question of when last donation was made and how much. Answer pending. .

B. Answer to Question: To Access Archives On Weblog B1. Go to Key2Harmony.org and Choose from left column: Member Information. Then, choose from middle column: Announcements and Reports. Archives will appear.

C. Request for Chairs for upcoming 3 months (Barb)

D. Minutes for July submitted for approval and posted to Weblog

E. Request to Change Secretary Job Description (Joyce) & now reads

Records the minutes of all Keybiz meetings. Forwards the completed minutes to Keybiz at the end of each month for review/corrections (5-7 days). Posts Minutes Weblog . Helps put together the monthly discussion agenda and keeps track of past motions, resolutions, and discussion items for future use by the BizCom when needed.

F. Transition from Arlene to Shelley as Treasurer F1. Shelley considering options for financial institution. F2. Tax Identification Number for non-profits needed...The TIN is assigned to the group, not the bank. It shouldn't matter what bank you use as long as you have the TIN. (Buddy) F3. Reports: AlternateChair (Buddy) I posted the "monthly appeal for new members to the Business Committee" to the main Key list along with links to other reports and the website.

My original thinking on this was, if everyone posts their reports to the Key weblog, instead of the Keytoharmony list, then the Alt Chair links to those reports in his monthly report, it would cut down on OT posts to the main list.

BTW, Barb K. posted her Chair Schedule to the Key blog herself this month and I think she will tell you the process is simple and easy. Joyce has been posting her minutes there for a couple of months now.

And, in case you can't tell, this is a big hint that we need to utilize the Key weblog more. :)
